Job Summary:
The Home Care Intake Manager serves as the first point of contact for families seeking care, providing a compassionate and professional introduction to our services. This role is responsible for promptly following up on inbound leads across multiple channels, guiding clients through the intake process, and ensuring their needs are thoroughly assessed and addressed. The Intake Manager balances empathy with consultative sales skills, clearly explaining the benefits of our services while answering questions with confidence and care. They will conduct comprehensive assessments, educate clients on eligibility and care options, and maintain accurate documentation within HubSpot. By collaborating closely with internal teams and healthcare professionals, the Intake Manager ensures that clients and caregivers receive timely, accurate information and a seamless experience from first contact through onboarding.
Essential Duties and Responsibilities:
  • Proactively and promptly follow up on inbound leads via phone, email, SMS, and other channels.
  • Serve as the first point of contact for families seeking home care services, balancing empathy and consultative salesmanship.
  • Professionally explain the advantages of our home care services and address questions with confidence and care.
  • Guide clients through the process of obtaining home care services, offering assistance and support every step of the way.
  • Thoroughly and accurately document all interactions in HubSpot CRM and maintain organized records of each lead’s status and next steps.
  • Answer incoming calls from clients, caregivers, and healthcare professionals, addressing inquiries and providing information about available services.
  • Conduct comprehensive initial assessments to evaluate clients' healthcare needs and determine the appropriate level of care required.
  • Collaborate with internal teams to stay informed of updates and changes, providing quick and relevant information to clients and stakeholders.
  • Educate clients on the eligibility criteria for home care services, explaining their options and helping them make informed decisions about their care.
  • Presents performance metrics
  • Other duties as assigned
Qualifications and Skills:
  • Minimum of 3+ years of experience in home care intake or enrollment processes.
  • Exceptional communication and interpersonal skills, with the ability to effectively interact with clients and stakeholders.
  • Highly organized, detail-oriented, and capable of managing multiple tasks efficiently.
  • Must be able to work independently
  • Proficiency in Microsoft Office applications and experience with HHA Exchange software.
  • Problem solving skills
  • Understanding of home care services, insurance verification processes, and enrollment procedures.
Work Environment:
On-site Woburn; In office 4 days a week

Pay Range: The hiring range for this position is $30.00-$35.00/hour. Various factors will determine final compensation such as a candidate’s years of relevant work experience, skills, certifications, and location.
